What are the deadlines for signing up for a program?

The deadline for program application is 5 weeks before the start date of the program. The ELC recommends submitting the application earlier than this for 2 reasons:

  1. To allow enough time to apply for a visa / a study permit if necessary
  2. The 12-week ELPI program limits the number of spaces per nationality to ensure a balance of cultures in the classroom. These spaces often fill up before the deadline.

What are the deadlines for Homestay (H)?

The deadline for applying for Homestay is 5 weeks before the start date of the program. Please note: the Homestay deadline for the September 12-week program is July 1. The Homestay office will accept late applications but does not guarantee that they will be able to find a suitable host family for late applicants.

How long does it take to register a student and to receive the LOA?

Registration for a program is usually completed within 24 hours of receiving a student’s application by mail, fax or online.

How is the LOA sent out?

Electronically (fax or email) and by mail.

Should the agent collect costs for homestay and dormitory accommodation?

For the 12-week programs

Agents should never collect homestay fees for the 12 week programs, only the CAD$250 application fee as the student will pay the host family directly.

For 3-6 week programs

The cost of accommodation is included in the total cost of the program, so agents should collect the complete fee and submit this to UVic. In these cases, UVic will pay the host families or the dormitories.

What are the payment options for commissions?

Commissions are paid by bank wire or cheque, depending on the agent’s preference.

What are the steps for receiving our commission payment?

Agents are not required to send the ELC an invoice for commission payments. Commissions are paid at the end of each session.

If a student registers for another course once they have arrived, will I get commission for that course?

Yes. If your agency registers a student for any program at the ELC, you will receive commission payments for that program plus any other additional ELC programs that the student registers for once they are in Victoria.

What happens if full fees are not received by the University by the start date of class?

Students whose fees are not paid in full are not permitted to attend class and will be advised that we have not received payment from their agent. It is the agent’s responsibility to ensure that full fees are received by the ELC 5 weeks before the start date of the program.
